Rules and Regulations
Admissions & Entry Requirements
1.    All applicants will be required to undertake an admission test/interview, after which admission will be processed accordingly.
2.    Students applying for the Pre-Hifz class must be at least 7 years of age and possess a reasonable level of reading ability, which will be assessed during the interview.
3.    All successful applicants will be placed on a three-month trial. The student’s continuation in the Pre-Hifz class will depend on the level of progress demonstrated during this period. Attendance, punctuality, and behaviour will also be monitored.
4.    If a student shows a lack of progress at any point after the initial three-month trial period, the parents will be notified, and the student will be placed on a further three-month trial period, during which a decision regarding their continuation will be made.

Appearance & Conduct
6.    Haircuts must be of equal length on all sides. Failure to comply will result in the student being sent home until the issue is rectified. Persistent non-compliance may result in the student’s place being withdrawn.
7.    Parents are requested to ensure that students attend Madrasah in a presentable, tidy, and clean manner. This includes wearing the prescribed uniform correctly, maintaining proper personal hygiene.
8.    Students are required to attend in appropriate Madrasah uniform at all times. Short sleeves are not permitted, and Jubbahs must be full-sleeved. Topis must be worn. Shorts are strictly prohibited; students must wear full-length trousers. Both Jubbahs and trousers must be worn above the ankles.
9.    In our continuous effort to instil greater love, respect, etiquette, and reverence for the Glorious Qur’an in the hearts of our students, the Madrasah does not permit bags with shoulder straps, including rucksacks. Suitable bags may be purchased from the Madrasah.

Timings & Schedule
10.    The timings of the Madrasah will be determined solely by the Headteacher. All students are expected to adhere strictly to the designated times.
             Pre-Hifz class timings are as follows:
             Monday to Friday: 5:00pm – 7:30pm
Please note that during school holidays, Madrasah timings may be subject to change.

Attendance, Punctuality & Absences
11.    Attendance and punctuality are extremely important. Punctuality leads to steady progress, whereas a lack of punctuality results in slower progress. We kindly request that you encourage your child in their Hifz studies as much as possible. Our goal is to see your child succeed; their success is our success.
12.    Students must attend punctually. In the case of a sudden absence, the Madrasah must be notified via text message on the admin number before 5:15pm.
13.    In unavoidable circumstances, the Madrasah must be informed at the earliest opportunity via text message. The Madrasah may request supporting evidence (e.g. appointment letters).
Note: Failure to inform the Madrasah of absence or lateness will result in it being marked as unauthorised.
Holidays will not be authorised outside of allocated term dates. Any leave taken during term time will be regarded as unauthorised. The Madrasah reserves the right to remove any student who fails to adhere to this policy.
Note: In exceptional circumstances, a leave request must be submitted via email in advance. The Madrasah will decide whether permission is granted. Please do not make any bookings prior to approval.

14.    If a student has compulsory school commitments resulting in lateness or absence, an official letter from the school may be requested.
15.    At-Taqwa Academy does not permit lateness or absence due to after-school clubs, tuition, or trips. Such absences will be recorded as unauthorised. Parents must ensure full compliance with this policy.
16.    Any unauthorised absence taken without prior permission may result in removal from the register.
17.    Students are expected to maintain an attendance rate of at least 95%. The Academy reserves the right to remove any student with 15 or more days of unauthorised absence or lateness within the academic year. A £100 re-enrolment contribution will apply if the student is re-admitted following SMT review.

Parental Responsibilities & Communication
18.    Parents must ensure that students prepare their lessons prior to attending. Hifz students should spend at least one and a half hours daily preparing. Sabaq (new lesson) should ideally be learnt in the morning. Students should aim to present their Sabaq within the first five minutes of the lesson.
In the event of any concern or complaint, parents should consult the Headteacher verbally or in writing.

19.    All sections of the application form must be completed in full, and the declaration must be signed prior to submission. Any changes in address or contact details must be communicated immediately. Failure to do so will result in the Madrasah not being responsible for missed communication or emergencies.

20.    To maintain an understanding of your child’s education and the Madrasah’s vision, policies, and systems, Fathers are required to attend:
              Mid-year and End-of-Year Jalsah 
              Mid-year and End-of-Year Parents’ Evening

Discipline & Authority
21.    The Madrasah reserves the right to dismiss any student where deemed necessary. No legal claim may be made against the Madrasah in such cases.
22.    Mobile phones and smartwatches are not permitted. If necessary, they must be handed to the teacher. Failure to comply will result in confiscation, and the device will only be returned following review by the Headteacher.
23.    If a student’s progress is unsatisfactory, detention may be issued outside of class hours.

Academic Progress & Examinations
24.    Failure to attend mid-year or end-of-year examinations may result in removal from the register or repeating the year.
25.    Upon completion of 29 Juz, all new Sabaq must cease until a full Dor (revision) is completed. Once the teacher is satisfied, the student may proceed.
26.    After completing Hifz, the student must revise to a satisfactory standard before undertaking a final assessment. Upon passing, a completion certificate will be awarded.
27.    Students will not be permitted to continue Hifz beyond the Year 11 school academic year. Alternatively, they may enrol in the 16+ Hifz programme or progress into the ??limiyyah programme.

Tarbiyyah & Additional Programmes
28.    For Tarbiyyah purposes, trips & activities will be organised outside of class hours. Attendance will be required.
29.    Occasional programmes, including the bi-monthly Brothers’ and quarterly Sisters’ programmes, are organised at the Madrasah, and the attendance of fathers at the brothers’ programme and mothers at the sisters’ programme is strongly encouraged.
Contributions
30.    There is a £100 registration contribution upon enrolment.
There is a quarterly contribution for which a standing order is set up to ensure contributions are made promptly. 
The Madrasah’s rules and regulations will be reviewed and updated from time to time. Parents are requested to acknowledge and sign the updated rules as and when required.
